Holding a Safe Outdoor Event

Summer is drawing near, and with summer comes more outdoor socials, concerts, festivals, and more. Outdoor events should be fun and worry-free, but they only can be if you take the necessary measures to keep your outdoor event safe for all who attend. Here is a brief guide to holding a safe corporate event outdoors.

Provide adequate shelter.

With any outdoor event, you must always be prepared for less-than-ideal weather conditions. Rain is never welcome, of course; but hot, sunny weather can be just as detrimental because it can cause heat exhaustion or heat stroke. Tents are always a good idea because they can provide shelter from unexpected rain while also protecting event attendees from harsh sunlight and hot weather. Be sure to provide adequate shelter and shade at your event to prevent any heat-induced health complications.

Serve healthy food and drink options.

Many outdoor events are centered around sweet and savory indulgences. While that can be fine, be sure to offer your guests some healthier food and drink options as well—especially plenty of water. Water is essential for keeping guests hydrated, and healthier food options can help prevent nausea from overindulgence in unhealthy foods.

Don’t forget about restroom facilities.

Since your event is outdoors, be sure to include portable bathroom facilities at your event—or to include adequate signage that directs guests to nearby public restrooms.

Hire security personnel.

Hiring security personnel is one of the best measures you can take to ensure a safe outdoor event. Needs will vary by event, of course. If you are holding a large corporate social outdoors for employees and their families, for example, you might hire unarmed officers for as little as four hours. If you are holding a larger, city-wide festival over the course of several days, on the other hand, you may decide to hire armed officers for a more extended time period. Whatever the event, a company that offers security personnel services can help you get the security you need for your event.

Have medical services on site.

If your event is large enough or is host to a number of health risks, it is also wise to have medical services on site at your event. You can hire certified EMTs who will remain onsite during the course of your event and offer medical assistance to attendees as needed. Sometimes it is possible to hire EMTs who are also trained to be security officers (such as when you work with CBI Security), so be sure to check what your options are.
